ESSENTIAL QUALIFICATIONS (Knowledge, Skill, Experience)
-4 years experience in an office environment. (Years of experience may vary based on previous responsibilities, e.g assistant vs. secretary/receptionist).
-Office Administration Diploma from a Community College or equivalent experience.
-Advanced and demonstrated computer skills in Microsoft Office - Word, Excel, Outlook, PowerPoint
-Well organized, able to meet deadlines and work well with minimum supervision
-Proven ability to grasp computer concepts and incorporate office automation concepts into daily workflow
-Satisfactory attendance.

-Communication - superior writing, grammar and editing skills; able to differentiate between highly confidential and public information.
-Can create clear, concise and meaningful presentation's - knowledgeable about what makes a good presentation

ACCOUNTABILITIES (Major Responsibilities of the Position)
-Support provided to the Director of Mission, Quality & Interprofessional Practice, the Professional Practice Team and the Spiritual Care Teams
-Draft and/or assist with drafting of reports (e.g. RNAO Best Practice Spotlight report, St. Joseph's Report, Directors Report to Senior Team), and applications (Late Career Nurse Initiative, RNAO Fellowship Applications, etc)
-Draft presentations (e.g. Department presentations to Mission & Quality, Clinical Orientation education.) using Microsoft Power Point.
-Coordinate meetings, prepare agendas, record minutes and distribute documents for several committees.
-Support the Ethics Review Board and Clinical Ethics Committee - Research study proposals, reviews and renewals
-Responsible for the operation and maintenance of the Clinical Practice Manual, Physician Order Sets, Clinical Student Placements
-Maintain correspondence with Universities and Colleges including affiliation agreements, preceptor-ship proposals, etc.
-Manage day-to-day office operation (e.g. telephone inquiries, mail, appointment scheduling with internal and external stakeholders, etc.).
